Terms of business in plain English.

NetVortex's terms: every job starts with a free call. A simple, well-defined job gets a free written plan, which is the quote; a bigger one starts with a fixed-length first AI review. The work is charged by the hour, with the hours written down first. You pay software and AI fees in your own accounts, and own what you've paid for.

These are the terms we work to. They cover our AI consultancy, automation, assistants, training and custom AI tools, and the websites we still look after for existing clients. The details of your own job go in your quote.

If anything here is unclear, ask before you agree a quote.

Who you're dealing with

NetVortex is the trading name of Brandon Fisher, a sole trader. Regan Fisher, our founder and developer, and Brandon, our AI and automation consultant, do the work themselves. You won't be passed to an account manager.

Quotes and hours

Every job starts with a free call, and there's no obligation. You tell us where the time goes, and we tell you whether AI can help. If it can't, we'll say so.

Simple, well-defined jobs go straight from the free call to a written plan with the hours. That plan is free: it's your quote. Bigger or less clearly defined jobs start with a first AI review: a fixed-length session, charged by the hour, with its length agreed with you and written down first. It ends in a written plan with the hours each part should take.

Only the work itself, and a first AI review when the scope is unclear, are charged by the hour. We write the hours down before we start, and we won't go over them without asking you first.

Your quote lists the hours, our hourly rate, and any software subscriptions and AI usage fees you'd pay. No building starts until you've agreed it. Anything the quote doesn't cover is charged by the hour too, with the hours written down first.

We don't publish prices, so your quote is where you'll see them. How we price explains how our quotes work.

Tools, fees and ownership

We set up automations, assistants and tools in your own accounts, under your own logins. You pay the software subscriptions and AI usage fees in those accounts. We recommend a tool only after checking its terms and how it handles your data.

Your data is always yours. Once you've paid for it, what we've built is yours too. Because it sits in your accounts, it stays with you if you stop working with us.

AI that talks to your customers

Some of what we build talks to your customers, such as a website chatbot, an AI receptionist or an automation that sends messages. These rules always apply:

  • Standard messages, such as booking reminders and confirmations, invoice reminders and review requests, go out automatically, in wording you've approved.
  • Anything AI writes for one particular customer is checked by a person before it goes out.
  • Live assistants, such as website chats and phone receptionists, always say they're AI, hand over to a person on request, and have their conversations reviewed afterwards. We check that the tool's AI label can't be removed.
  • No outbound AI marketing calls. Phone assistants answer incoming calls only.
  • The person who checks and reviews is someone on your team, and we show them how.
  • You approve the information it answers from.
  • Chats, recordings and transcripts stay in your own account with the tool.

An assistant's quote gives you a written total: our set-up hours, the tool's monthly fee, any usage charges (per-minute call costs, for example), and upkeep, which is charged by the hour.

We agree in writing who fixes wrong answers and how fast. Before an assistant goes live, we sign a data processing contract with you, because we handle your data while we build, test and look after it. Our AI receptionist for business page goes into more detail.

Training workshops

Workshops run online for 2 to 6 people, on fixed dates agreed with your team. Each one is priced as the time to prepare and run it, in a written quote before you book. There's no certificate of attendance. For what a session covers, see our AI training for business page.

Payment and VAT

We invoice for the work, and you pay each invoice in one payment. We're not VAT registered, so we don't add VAT to our quotes or invoices.

If we built your website

Our focus now is AI, but we still host and look after the websites we built for existing clients. For those sites:

  • Your domain is registered in your name, and the code is yours once the build is paid.
  • To end a care plan, give us one month's notice.
  • If you move the site elsewhere, we transfer its GitHub repository to you or give you a full copy of the code.
  • Work outside a care plan is charged by the hour.
